Privacy Policy

How the Mayflower Judiciary portal handles your information. Last updated 8 October 2026.

1. Who we are

The Mayflower Judiciary portal is the official case-management and records platform of the State of Mayflower roleplay community on Roblox. It is operated by the Mayflower Courts for community members, attorneys, law enforcement officers and judicial officers.

2. Information we collect

Roblox account data. When you sign in with Roblox, we receive your Roblox user ID and username through Roblox's official sign-in system (OAuth 2.0). We also read your group memberships and ranks in the official Mayflower groups to determine your role (citizen, attorney, officer, judge and so on).

Staff accounts. Court staff may sign in with an email address or username and password. Passwords are stored only as secure hashes by our authentication provider.

Content you submit. Filings, warrant requests, statements, evidence links and images you upload, and notes you write while using the portal.

Audit records. We record actions taken on cases (submissions, acceptances, assignments, decisions) with the actor's display name and time, to keep the court record complete.

3. How we use it

Your information is used only to operate the portal: verifying your identity and role, routing filings to the correct court, displaying public dockets and judgments, and enforcing the court's rules of procedure. We do not sell your data, show advertising, or use it for marketing.

4. What is public

Accepted cases appear on the public dockets and, later, in the judgments archive. Public views show case numbers, parties' Roblox usernames, the assigned judge and the disposition. Evidence files, statements, internal notes and warrant materials are never published.

5. Third-party services

Roblox provides sign-in and group-rank data, subject to Roblox's own privacy policy. Discord receives a notification when a warrant request is submitted (officer name, targets and offences — never the probable-cause statement). Our hosting and database provider stores the data above on our behalf.

6. Retention and security

Court records are kept as part of the permanent archive. Access to non-public material is restricted by role and enforced by the database on every request. Warrant access codes rotate regularly and warrant sessions expire after 12 hours.

7. Your choices

You may stop using the portal at any time. To ask about your stored information or request a correction, contact the Clerk of Court through the official Mayflower Courts Discord.

8. Changes

If this policy changes, the updated version will be posted on this page with a new date.
